How to reorder pages before merging PDFs
Most merge tools ask one question: which file comes first. That is a useful question, and it is not the one that decides how the finished document reads.
File order and page order are different questions
Ordering files answers “which document follows which”. Ordering pages answers “what does page seven of the result contain”. The second is the one a reader experiences.
They only coincide when each file is a self-contained block that belongs whole, in one place. That is the easy case. The common case is messier: a signature page that belongs at the end of a contract rather than the end of its own file, a scanned appendix whose first sheet is a cover nobody needs, three quotes that should alternate with three invoices.
None of that is expressible as a file order. It is a page order.
Pages from different PDFs can interleave
Once the pages are the unit, where a page came from stops being a constraint. Page one of the result can come from the third file you added and page two from the first. The document you are building is a new sequence, not a stack of the old ones.
This is also why looking at the pages matters more than looking at the file list. A file list tells you what you added; a page grid tells you what you are about to save.
Fix the page, not just its position
While you are looking at the sequence, three other things are usually worth doing in the same pass:
- Rotation belongs to the page. A sheet fed sideways into a scanner is sideways in the file, and turning it is a change to that page’s own property — the contents are not redrawn.
- Duplication gives you the same page twice when a pack needs it, as a second page rather than a second file.
- Removal drops a page from the document you are preparing. The file you opened still has it.
Check the sequence before you save
The habit worth having is reading the page order once, in order, before writing the file. An off-by-one sequence is easy to make and easy to miss: a report whose appendix starts one page early looks fine in a file list and wrong the moment someone opens it.
Doing it in Merge PDF
- Add every PDF you want to draw pages from.
- Switch to Pages to see the whole sequence as one grid rather than as separate files.
- Drag a page to move it. Use Rotate left / Rotate right, Duplicate or Delete on a page, and Preview to read one properly.
- Merge PDF saves the sequence you built. See how merging works for what the result is.
